Job Description

 

As a key member of the Edweek.org and Education Week team, the Executive Assistant and Office Manager will provide high-level administrative support to the Chief Executive Officer (CEO) as a primary role.  Reporting directly to the CEO the Executive Assistant serves a critical role in coordinating and managing the executive schedule and outreach, meeting arrangements, documentation, and projects. In the secondary role, the person will provide office management support to the facility, office organization, vendor, and inventory management.

The ideal candidate is experienced, pro-active, highly detailed oriented, has exceptional communications skills, strong proficiency in technology, the ability to multi-task and a propensity for relationship building at all levels. 

This position requires the Executive Assistant to perform advanced administrative duties with exposure to sensitive information necessitating tact, diplomacy, discretion, and judgment. Strong integrity is essential, and the candidate must be comfortable working in a high energy, collaborative, diverse, professional environment.  The position is a full-time role operating in a hybrid work environment.

 

Responsibilities

 

Supporting the CEO

  • Manage communication between the CEO and other organization executives, employees, and a wide range of external stakeholders and partners
  • Coordinate complex professional scheduling and extensive calendar management for the CEO, including agendas, meetings, email, calls, travel arrangements, etc.
  • Prepare CEO monthly expense reports
  • Manage routine and special projects for the CEO that may involve basic research and/or analyses
  • Screen incoming requests for the CEO; respond to requests by gathering and providing information and referring to the appropriate staff
  • Assist in preparing and managing presentations
  • May attend executive meetings with CEO, as requested
  • Coordinate three annual Board of Trustee meetings, including meeting space, accommodations, meals, and any other required items
  • Assist with preparation and distribution of Board meeting materials; take Board meeting minutes; provide general administrative support to Board members as needed
  • Uphold a strict level of confidentiality and maintain a high level of professionalism

 

Office Management

  • Oversee the Front Office Administrator and the front desk, mailroom, office supplies and equipment, invoice processing, and other responsibilities
  • Ensures the day-to-day activities of the office functions smoothly by serving as the main point of contact in office operations, keeping management informed of performance with routine and requested reporting
  • Manage office G&A budget
  • Support facilities management by serving as front-line internal liaison with our property management company regarding Education Week’s building and office maintenance to ensure fulfillment of the contractual terms and conditions
  • As required, manage contract and price negotiations with office vendors and other service providers
  • Play an active role in helping plan in-house or off-site activities (i.e., parties, celebrations, and all-staff meetings)
  • Serve as a key point of contact for “in-office” days to support collaboration spaces, and manage COVID protocols in partnership with office assistant to align with the Future of Work strategy

 

Requirements and Skills

  • 5+ years of experience in an Executive Assistant or equivalent role, supporting C-level staff, and as an Office Manager
  • Superb written and verbal communication skills
  • Excellent supervisory skills, including the ability to coach staff and prioritize their work when required
  • Excellent proficiency in Microsoft Office, video conferencing technology (i.e., Zoom) and other office productivity tools, with aptitude to learn new software and systems
  • Strong time-management skills and the ability to organize and coordinate multiple projects at once
  • Experience managing an expense budget
  • Flexible and positive collaborator willing to do what it takes to get the job done; adaptable and creative problem-solver
  • Excellent client service and people skills - comfortable interacting with staff at all levels and representing the CEO and the organization clearly and diplomatically, when needed
  • Demonstrated ability to hold a confidence; extremely ethical and conscientious
  • Ability to travel as required
  • Interest in Education Week’s non-profit education mission
